How do I register for the event?

You can register via the booking button (Book Now) on the conference registration page, which links to the booking funnel.

Is there an early-bird or discounted registration rate?

Yes, there is an early-bird rate; this tends to end mid-May. Please book by the deadline to take advantage of the discounted rate.

What is included in the registration fee?

Your registration fee covers entry to  all scientific lectures and poster sessions, the digital conference programme book, access to the industry exhibition, refreshments and light lunch during the Annual Conference and admission to the Welcome Evening Reception.

 

Conference Details

How long is the conference?

The conference will run for three days, starting at 9:00 on Tuesday morning and ending on Thursday evening.

What time does registration open on day one?

Registration opens at 8.00 a.m

Can I pick up my badge before day one?

You can pick up your badge and conference bag between 3:00 p.m. – 5:00 p.m. on the Monday before the Annual Conference.

What is the split between sections

The split between sections varies from year to year. For more details, visit the programme section of the conference website.

 

Programme & Content

Where can I find the event programme?

The programme is located on the conference website on the programme page.

Will sessions be recorded or available on demand?

Yes, sessions will be recorded and made available within a few hours after the session.

Can I submit an abstract, poster, or talk?

Yes, you can submit an abstract, a poster, or a talk. The abstract system will open early in January and close at the beginning of March.

 

Travel & Accommodation

Are there recommended hotels or accommodation options nearby?

You can find a list of recommended hotels and accommodation on the conference website under (Conference location) Information: Accommodation.

Is travel funding or a bursary available?

The society provides several travel grants located   here.  If you meet the eligibility criteria, you are welcome to apply.

Is there parking or public transport access?

All the information you need about the venue and parking is located on the Conference Location Information page under Travel Information.

Do you provide any visa support?

We provide visa invitation letters, but do not contact embassies on behalf of delegates. 

 

Policies

What is the cancellation or refund policy?

    • Cancellations before 5 pm BST on 15 May 2026 will incur a £50 administration charge for refunds. There will be no refunds made for cancellations received after 5 pm BST on 15 May 2026. Cancellation requests must be submitted in writing to [email protected]
    • Where there is an outstanding invoice payment for registration, payment will still be sought for cancellations made after 15 May 2026. 

Can I transfer my registration to someone else?

We don't encourage you to transfer your registration, but please contact the events team at [email protected] to discuss your individual case.

 

Practicalities

Do I need to bring anything with me?

No, you do not need to bring anything with you; we tend to provide a conference bag that comes with a pen and notebook. If you are presenting a talk or poster, please bring your presentation on a USB and/or poster with you. 

Is there a dress code?

No, we do not have a specific dress code.

How can I contact the organisers if I have questions?

You can contact the organisers via the event’s team email address on [email protected]. If your query is related to a specific session that you are presenting at, please contact the session organiser for that session. 

 

Post Event

Will certificates of attendance be provided?

Yes, certificates will be provided after the conference. This is an automatic process, but it does take a few days to get it triggered. If you have not received your certificate after 2 weeks, please contact the events team at [email protected].

How can I access event photos or materials?

You will be able to access the talks, the abstract book and the programme book after the conference on the website. For photographs, please contact the events team by emailing [email protected].

How can I provide feedback about the event ?

A feedback form will be sent to you after the conference, and you will be able to provide your feedback that way.
