The registration fee for the Annual Conference includes:
- Admission to all scientific lectures and poster sessions
- Digital conference programme book and abstract book
- Access to the industry exhibition
- Refreshments and light lunch during the Annual Conference
- Admission to the Welcome Evening Reception
- Poster session refreshments
ACCOMPANYING PERSON FEE
If you are attending the Annual Conference with a friend or spouse and would like them to join you at the networking opportunities, you can purchase an accompanying person ticket.
The ticket price allows the individual to attend the welcome reception, poster sessions and includes refreshments/lunch throughout the Annual Conference.
Please note: An accompanying person will not be able to attend any scientific lecture sessions.
If you require a support person, carer, or need an extra childcare giver to accompany you to the conference venue, then please email [email protected] prior to the conference to arrange their free pass. This pass will grant access to the conference venue, excluding talks and sessions that you do not require additional support in.

CANCELLATION POLICY
Cancellations before 5 pm BST on 15 May 2026 will incur a £50 administration charge for refunds. There will be NO refunds made for cancellations received after 5 pm BST on 15 May 2026.
Where there is an outstanding invoice payment for registration, payment will still be sought for cancellations made after 15 May 2026.

VISA INVITATION LETTERS
We can provide invitation letters to delegates who require a visa to attend the Annual Conference in Florence. We do not apply for visas for delegates or get involved in the visa application process. Delegates are advised to apply for their visas in good time, as we cannot speak to embassies to hasten the process. In order to provide an invitation letter:
- Delegates must have registered for the Annual Conference and paid for any outstanding invoice on their account.
- Delegates should provide an official letter from their department confirming they support them attending the Annual Conference.
- Delegates must provide their official correspondence address.
Any late requests (within 1 month of the Annual Conference) for invitation letters will not be processed.

CPD Points
The SEB Annual Conference has been approved by the Royal Society of Biology (RSB) got the purpose of Continuing Professional Development (CPD). Attendance or presenting at the conference will be counted as 117 CPD points. Attendees can record their CPD through the RSB website (mySociety) and upon completion of your CPD year with 50 points achieved or more, will be issued a certificate.

Delegate Cancellations
All cancellation requests must be submitted in writing to the SEB Events Team at [email protected].
Cancellations before 5 pm BST on 15 May 2026 will incur a £50 administration charge for refunds.
There will be no refunds made for cancellations received after 5 pm BST on 15 May 2026, as we would have booked all suppliers based on the number of registrations that have been received on this date.
Where there is an outstanding invoice payment for registration, payment will still be sought for cancellations made after 15 May 2026
Failure to attend the event without prior notice will be treated as a cancellation and is non-refundable.

Delegate Substitutions
Delegate substitutions may be made at any time before the event at no additional cost. Substitution requests must be submitted in writing to [email protected] and include full details of the replacement delegate.
Event Changes or Cancellation by SEB
Delegate Insurance and Liability Disclaimer
Delegates are responsible for arranging their own personal insurance, including but not limited to travel insurance, health insurance, and insurance covering loss or damage to personal property.
SEB accepts no responsibility or liability for any loss, damage, injury, or accident sustained by delegates, speakers, exhibitors, or guests during or as a result of attending the event, except where such liability cannot be excluded by law.
Delegates attend the event at their own risk and are responsible for ensuring they are fit to participate in all event activities.
SEB shall not be liable for any indirect or consequential loss, including travel, accommodation, or other costs incurred in connection with the event.
Photography and Media Rights
Photography and video recording will take place throughout the event. By attending, you acknowledge that your image may be captured and used by the SEB for promotional purposes, including websites, marketing materials, and social media.
If you prefer not to be featured in close-up photography, please inform the events team at [email protected].. While we will make reasonable efforts to accommodate requests, delegates may still appear in background or crowd shots.
All recordings and images remain the property of SEB. No recordings may be made by delegates for commercial purposes without prior written consent from SEB.
Sponsorships and Exhibitors
Sponsorship and exhibition fees are non-refundable unless otherwise stated in the relevant sponsorship agreement.
Exhibitor Insurance
All exhibitors are required to provide a certificate of their liability insurance. Exhibitors will not be allowed on site without it.

Third Party Involvement
Payment
Registration will not be confirmed until payment is made in full.
Children
Delegates are welcome to bring their children to the SEB Annual Conference, but must ensure that they are booked into our crèche facility for the duration of their stay, as they will not be permitted into the main conference sessions. We partner with a third party crèche facility, Nipperbout; information regarding them, including links to their website and policies, can be found here.
Parents and guardians must be responsible for their children outside of crèche opening hours.
