FUNDING FOR EVENTS AND CONFERENCES

The following is a list of SEB funding which can be applied for small and large events and conferences by SEB members, to ensure SEB continues to support our members in building extraordinary connections with fellow scientists.

 

FUNDING FOR SMALL EVENTS AND CONFERENCES 

Funding for small Events and Conferences

If you are organising a scientific conference or event independently or in collaboration with other organisations, SEB members can apply for sponsorship  to help with the cost. 

APPLICATION DEADLINES

We assess applications twice a year and the deadlines for applying are:

  • 1st March 
  • 1st November 

ELIGIBILITY CRITERIA  

 
  • The date of the conference or event:   The date that the conference or event which is taking place  must occur at least 2 months after the application deadline (e.g if you are applying for the 1 March deadline, the conference or event  must take place on or after the 1 May of that same year, and no sooner than 1 May).
  • Scientific topic:  The SEB only funds conference or events  that  are within the Society’s research remit (animalplant    and  cell    biology and  OED). This is restricted to the subject areas that are covered by the Society’s activities.  Research directly related to medicine is precluded because this subject area is better funded than most biological disciplines.
  • Maximum funding:   You can apply for up to £1,000 per in-person conference or event and a maximum of £500 per virtual/online conference, event or webinar.

For successful applicants, the funding wil be released within a maximum of 1 month from the application deadline.

FUNDING EXPENDITURE

In order to regulate how SEB funds are spent in relation to conference or event , the organiser(s) agree to abide by the funding expenditure regulations below:

  • The use of SEB Sponsorship funding must contribute directly to the costs of the conference or event  for which the funds were awarded.
  • The funds must be used effectively and economically and the expenses must be fundamental to the achievement of the aims and objectives of the meeting as laid out in the funding application.
  • The costs must be incurred between the application submission date and no more than 2 months after the completion of the approved conference or event.
  • After the meeting the organiser(s) will need to provide a list of expenditures together with supporting receipts
  • Eligible and non-eligible expenses are detailed below

ELIGIBLE EXPENSES

    • Venue hire costs
    • Catering costs
    • Costs associated with producing marketing or publicity materials for the conference or event  provided that the SEB logo is included on the printed design as sponsors of the conference or event .
    • Hire of poster boards
    • Student/ Early Career Scientist travel grant awards
    • Offering subsidised registration fees for attendees from low and middle income countries/ PhD students/ Early Career scientists/ SEB members
    • Awards for best presentations (poster/talk)
    • IT related costs (i.e. delivery platform, IT support for delivering the conference or event ) – applicable for virtual meetings
  • Purchasing or hiring of necessary equipment and resources for delivering the conference or event (i.e. cost of hiring webinar equipment for virtual meetings)
  • Producing resources from conference or event  for wider use: i.e. video recordings, best practice and learning materials

The list is not exclusive and other expenses may be granted with prior approval from the SEB office.

NON ELIGIBLE EXPENSES

  • Registration, travel and subsistence costs (including meals and accommodation) of the organising party and associated research personnel
  • Passport and immigration fees
  • The purchase of lab equipment or machinery

SPONSORSHIP ACKNOWLEGEMENT

If awarded, you agree to acknowledge the SEB as sponsors of the meeting as outlined in section 5 of the application form.

AFTER THE   CONFERENCE   OR EVENT

2 months after the event or conference takes place you will need to provide us with the following:

  • An event report of no more than one A4 page which we might be printed in the SEB Magazine.
  • A list of expenses showing how the funding was spend together with receipts and relevant supporting documentation
  • Examples of publicity materials carrying the SEB logo

 


 

 

SATELLITE EVENT FUNDING.

Funding for satellite meetings


SEB Members can submit proposals and funding request to organise an SEB satellite event, which normally take place before or after an SEB conference or event   (i.e. the SEB Conference).  Each of the SEB Sections (animal, plant, cell) is allocated £5,000 each per year for this purpose.  Your proposal and funding request for a satellite event    can be submitted to the relevant SEB section (animal, plant, cell, EOD). 

WHAT IS A SATELLITE EVENT?

An event  is defined as a satellite event  based on its location, timing, and the overlap of the intended audience with that of an SEB annual conference as follows:

  • Location: a satellite event is educational and is usually held in the same location as the SEB annual conference to which it is attached
  • Timing of the event: the event  needs to take place within four  days before or immediately after the conclusion of an SEB annual conference
  • Scientific topic: satellite event   would be expected to enhance the SEB event. The scientific topic covered by the event   should be of interest to the audience of the SEB event. Hence a satellite event  will need to provide an introduction to or continuation of the scientific content covered in the SEB annual conference to which it is attached.

APPLICATION DEADLINES

1 March and   1 November 

  • SEB Annual Conference: applications for a satellite event attached to the SEB Annual  Conference must be made by 1 March in the year prior to the Conference taking place (i.e. the SEB Conference takes place in June/July each year). 
  • SEB Symposia: applications for satellite events   attached to an SEB symposia must be made at least 6 months before the SEB symposia meeting is due to take place.

TERMS AND CONDITIONS

If your proposal is accepted, a number of Terms and Conditions apply including:

  • You will need to work collaboratively with the SEB in organising the meeting as follows:
  •  You will be the scientific organiser of the event and therefore you will be responsible for organising the scientific programme the SEB will be responsible for organising the logistics of the event including: managing  abstract submission, registrations, advertising and publicity, budget management.
  • We have restrictions  on what  the   funding can and can’t cover.
  • After the event   you  must also send us a report on the event

SATELLITE  CONFERENCE / EVENT PROPOSAL AND

SEB Members can submit proposals  together with request for funding to organise a SEB satellite conference or event, which would take place immediately before or after an SEB conference or event ( i.e the SEB Annual Conference).Each of the SEB Sections ( Animal, Plant , Cell and EOD) is allocated £6,500 each per annum for this purpose.

APPLICATION CRITERIA

  • Applicants for satellite funding must be members of the SEB.
  • The scientific topic of the proposed conference or event  must provide an introduction to or a continuation of the science covered at the SEB conference or event  to which it would be attached.
  • A maximum of £6,500  can be applied for per conference or event .

APPLICATION DEADLINES

Applications can submitted each year on the following deadlines: 1 March and 1 November 

  • SEB   Annual Conference:   Applications for a satellite meeting attached to the SEB Annual Conference must be made at least 8 months before the Annual Conference takes place (i.e. The SEB Annual Conference takes place June / July each year). Applications for satellite conference or event  must be submitted either in 1 March or 1 November deadlines in the year prior to the conference taking place)
  • SEB Symposia:  Applications for satellite conference or event  attached to SEB symposia must be made st least 6 months before the SEB symposia Conference or event is due to take place.

Members can apply for £100 to cover the expenses for an external lecture speaker.

SEB members can apply for up to £200 to cover expenses for an external lecture speaker.

APPLICATION CRITERIA

  • Topic: event topic must be within SEB's remit (within the remit of our animalplant and cell  biology sections or the remit of  OED)
  • Event date: the event must take place at least two months after the application date
  • Applicant must be a member of SEB

The Society for Experimental Biology sponsors public university lectures given by external speakers. Sponsorship of up to £200 can be applied for to help with speaker travel costs or any other justified expenses related to the event.

The SEB often publishes short articles / write-ups about public  lectures we sponsored in our member magazine or website. This enables us to share details with the rest of the SEB's audience and helps us to raise awarness of the financial support available from the SEB for similar events.
